Who we are

Meat Matters Ltd operates meatmattersltd.co.uk and is responsible for the personal information used to run our shop and customer relationships. This notice explains the information handled through our website, orders, enquiries, feedback and business contact records.

Information we collect and its sources

  • Orders and enquiries: names, email addresses, telephone numbers, billing and delivery addresses, products ordered, payment status, delivery instructions and messages you send us.
  • Accounts and saved items: account details, password authentication information, order history, basket contents and saved wishlist items.
  • Gift vouchers: purchaser and recipient names, recipient email address, value, message and delivery date. A voucher purchaser may provide someone else’s recipient details.
  • Product feedback: answers and contact information submitted through our mince-feedback form.
  • Website use and security: IP address, browser and device information, page visits, session identifiers and security events generated when you use the site.
  • Business contacts: professional contact details, business category, correspondence and related notes obtained from you or publicly available business websites and directories for relevant business enquiries.

Fields needed to complete an order or provide a requested service are identified in the relevant form. Without necessary payment, contact or delivery information, we may be unable to fulfil an order.

How and why we use information

  • Orders, accounts and vouchers: to provide services you request, take payment, deliver purchases and send essential order messages. The basis is performance of a contract or steps you request before entering a contract. Handling a gift recipient’s details also supports our legitimate interest in delivering the purchaser’s gift.
  • Enquiries, feedback and customer records: to answer questions, handle complaints, understand product feedback and maintain relevant customer relationships. These purposes support our legitimate interests in operating and improving our business.
  • Security and fraud prevention: to protect the website, customers and transactions, supporting our legitimate interests in a secure service.
  • Required records: to meet applicable accounting, tax and other legal obligations, or establish, exercise or defend legal claims.
  • Marketing and business enquiries: to manage subscriptions and relevant business communications, relying on consent where required and otherwise an applicable lawful basis, including legitimate interests subject to your rights. Supplying information for an order or feedback does not, by itself, constitute consent to unrelated marketing.

You can object to direct marketing or withdraw consent by contacting us. Where a marketing message offers an unsubscribe link, you can also use that link. Withdrawing marketing consent does not prevent essential messages about an order and does not affect earlier processing that was lawful.

Payments, delivery and other services

We use WordPress and WooCommerce to operate the shop. Stripe processes payments, with methods including cards and Klarna. Payment providers receive information needed to authorise payments and manage fraud, refunds and disputes. They may also use information for their own purposes as explained in their notices: Stripe privacy information and Klarna privacy information.

Delivery providers receive the contact and address information needed to deliver orders; our current delivery Terms identify APC. Services involved in hosting, backups, email, technical support and security may process relevant information to provide their services.

Our Mautic customer relationship system receives order and customer information, including billing contact details, city, postcode, country, order status, purchase information and customer notes. This supports customer and business records. Our recipe newsletter signup uses a SendGrid-hosted form; see Twilio/SendGrid privacy information. The website also uses Cloudflare and Wordfence security services; see Cloudflare’s privacy information and Wordfence’s privacy information.

We may disclose relevant information where required by law or necessary to establish, exercise or defend legal claims.

Cookies, page tracking and embedded content

The website uses cookies or similar storage for functions such as baskets, login, security and wishlists. Public pages also include Mautic page-view tracking, which can record visits and associate activity with visitor or contact identifiers. Embedded signup forms and payment services can process information through their own systems.

You can manage cookies through your browser settings. Restricting cookies may affect shop functions and does not prevent all server-side security logging or processing needed to handle a request. Contact us if you want information about tracking associated with you or wish to object to its use. This notice does not treat simply browsing the website as consent to optional marketing.

How long information is kept

Retention depends on the purpose of the record, any applicable legal record-keeping requirements, outstanding orders, voucher balances, enquiries or disputes, and the need to maintain security or honour marketing preferences.

The shop currently has no fixed automatic deletion period configured for completed orders or inactive customer accounts. These records can therefore remain in the shop unless they are separately reviewed, erased or anonymised. Contact us to ask about information held about you or request a retention review or erasure. Some records may need to remain for accounting, legal or security purposes.

For gift vouchers, relevant records may be needed through redemption or expiry and for related transaction records. For enquiries, feedback and business contact records, the continuing purpose and any outstanding issue determine whether information is still needed. A limited suppression record may be needed to honour a request not to receive marketing. Backup copies and service-provider records can have different retention cycles; contact us for information about a particular record.

International processing

Some payment, email and security providers operate internationally and may process information outside the UK. Their privacy notices linked above describe their international processing and applicable safeguards. Contact us if you need further details about a transfer connected with our use of a provider or how to obtain information about its safeguards.

Automated processing

Our customer records include order history and product categories and may be used to organise relevant communications. Payment providers can use automated fraud or credit assessments under their own policies. Their notices explain relevant decision-making and available rights. Your rights and complaints

Depending on the circumstances and applicable exemptions, you may have rights to access your information, correct it, request erasure or restriction, object to its use, and receive or transfer certain information. You can object to direct marketing and withdraw consent where processing relies on consent.

Contact us using the details above. We may need to verify your identity before responding, and we will explain where an exemption or record-keeping requirement affects a request. You can also raise a concern with the UK’s Information Commissioner’s Office through the ICO complaints service.
